The Role

As the AR & Payment Solutions Specialist, you’ll be at the forefront of our financial operations, balancing the art of client communication with the science of metrics, strategic follow-up processes, and accountability. This role provides the opportunity to lead a critical function within the company, ensuring seamless payment operations while preserving positive client relationships. Role Outcome
● Ensures consistent, timely collections by managing all aspects of the AR process, resulting in steady cash flow and reduced outstanding balances.
● Provides exceptional client support by fostering clear, professional communication and maintaining positive relationships, even during escalations or challenging situations.
● Maintains precise financial records and metrics, ensuring the accuracy and reliability of reports used for internal decision-making.
● Proactively identifies and resolves payment issues, minimizing arrears and preventing escalation whenever possible.
● Collaborates effectively with internal teams, including Service and Legal, to manage escalations and streamline processes for greater organizational efficiency.
● Contributes to the company’s financial success by achieving AR targets and consistently improving collections performance.
Key Responsibilities
Accounts Receivable Management
● Manage a portfolio of client accounts, ensuring timely and accurate tracking of payments, balances, and outstanding amounts.
● Monitor and review automated payment failure reports, identifying accounts requiring follow-up or escalation.
● Regularly update and maintain client payment records, ensuring all data is accurate, complete, and aligned with internal reporting requirements.
Payment Follow-Up and Resolution
● Implement structured follow-up processes for failed payments, including email cadences and client outreach.
● Collaborate with the Service Team to address escalated payment issues, ensuring resolution in a timely and professional manner.
● Work directly with clients to resolve payment disputes, update billing information, or establish approved payment arrangements.
Client Communication and Support
● Serve as the primary point of contact for clients with payment-related inquiries, providing clear and professional communication.
● Handle requests for billing changes, end-of-contract payment plans, and other AR-related needs with accuracy and attention to detail.
● Maintain a client-focused approach, balancing payment recovery efforts with the importance of positive client relationships.
Reporting and Metrics
● Generate and analyze AR reports, highlighting trends, risks, and opportunities for improvement.
● Ensure key metrics, such as overdue balances, payment failures, and legal account statuses, are consistently tracked and reported to stakeholders.
● Support leadership with data-driven insights to enhance AR processes and decision-making.
Legal and Escalation Management
● Prepare accounts for legal escalation by following a standardized checklist, ensuring all documentation is accurate and complete.
● Coordinate with legal counsel to track the status of accounts in the legal process, facilitating communication between the attorney, CEO, and internal teams.
● Monitor accounts in the legal process, ensuring updates are communicated to affected internal departments and stakeholders.
Process Improvement and Compliance
● Identify opportunities to optimize AR workflows, including automation of routine tasks and standardization of manual processes.
● Ensure compliance with company policies, contractual obligations, and legal regulations in all AR activities.
● Actively contribute to the development and refinement of AR policies, procedures, and best practices.
Qualifications
● 2-4 years in accounts receivable, collections, or a related field, with demonstrated experience managing client accounts and resolving payment issues.
● Experience handling specialized AR needs such as deferred payments, multi-payment schedules, and legal escalations.
● Proficiency in payment processing systems and AR tracking tools in a high-volume environment.
● Proficient in Microsoft Excel, with the ability to manage advanced-level tasks and requests as needed.
● Strong analytical skills with the ability to interpret financial data and identify trends.
● Demonstrates the ability to assess situations quickly, develop solutions, and make sound decisions.
● Proactively identifies opportunities to optimize workflows and implement efficiencies.
● Strong attention to detail, ability to prioritize tasks, and meet deadlines in a fast-paced environment.
● Collaborates effectively with cross-functional teams and maintains clear, professional communication with clients.
● Skilled in balancing payment recovery efforts with maintaining positive client relationships.
● Demonstrated ability to manage sensitive client information with discretion and professionalism.
Compensation & Time Availability
● Remote, part-time position offering a competitive salary based on experience.
● $25.00 – $35.00/ HR DOE
● Opportunity for bonuses based on performance.
● Estimated 15-20 hours per week, with the occasional need for extended hours during peak periods or for critical deadlines.
● Flexible schedule requiring a 30-day advanced submission of proposed working hours within the typical Monday through Friday 9:00 AM to 5:00 PM range.
● Participation in weekly virtual meetings is required.

You will leverage your extensive business consulting experience to provide comprehensive, personalized support and coaching, enabling our clients to thrive and expand their impact in the health sector. Supported by our dedicated coaching staff and the executive team, you will have access to a wealth of knowledge, resources, and collaborative support, ensuring you can deliver the highest level of service to our clients. Core Responsibilities
● Provide tailored business and personal development coaching to high-value clients within the health practice sector, focusing on all areas of business operations including sales, marketing, hiring, management, operations, and finance.
● Conduct in-depth diagnostic assessments of client businesses to identify areas for improvement and provide actionable insights.
● Develop strategies and solutions that address specific business challenges faced by clients, particularly in scaling and optimizing their operations.
● Facilitate live events (4x/yr), virtual workshops, training sessions, and one-on-one coaching meetings to guide clients in implementing best practices and innovative business strategies.
● Develop curriculum on new topics for client review.
● Work closely with clients to develop and refine their financial management practices, enhancing profitability and financial health.
● Collaborate with clients to streamline their operational workflows, improving efficiency and effectiveness across their practices.
● Support clients in the development and execution of effective marketing and sales strategies to attract and retain patients.
● Assist with member’s key staff, fostering strong team dynamics and leadership development within client practices.
● Provide ongoing support and guidance to ensure clients achieve and maintain their growth objectives.
● Communicate in our digital community to offer asynchronous client coaching.
Requirements
● Strong background in small business consulting, with extensive experience in providing business advice and coaching.
● Proven track record of success in helping businesses grow and optimize their operations and financial performance.
● In-depth knowledge of the health practice industry, particularly cash-pay medicine, is highly desirable.
● Bachelor’s degree in Business, Management, or a related field; a Master’s degree in Business Administration or relevant field is a plus.
● Minimum of 5 years of experience in business consulting or coaching, with specific experience in health-related industries preferred.
● Exceptional analytical, problem-solving, and decision-making skills, with the ability to adapt to the unique needs of each client.
● Excellent communication and interpersonal skills, capable of motivating and leading clients towards success.
● Strong organizational and project management skills, with the ability to manage multiple client engagements simultaneously.
Compensation & Details
● Employment Type: Full-Time
● Location: Remote (U.S.-based preferred)
● Compensation: $120k+/year (based on experience and expertise)
● Reports To: VP of Business Coaching
