The Role
Join our high-end health entrepreneur program, specifically designed to support independent medical practices (Functional, Integrative, DPC, Lifestyle focus) looking to build, grow or scale their cash-pay business. As a Business Coach at Freedom Practice Coaching, you will play a pivotal role in guiding these practices through expansive development phases in every area of their business, from strategic planning and financial management to sales, marketing, and operations. You will leverage your extensive business consulting experience to provide comprehensive, personalized support and coaching, enabling our clients to thrive and expand their impact in the health sector. Core Responsibilities
● Provide tailored business and personal development coaching to high-value clients within the health practice sector, focusing on all areas of business operations including sales, marketing, hiring, management, operations, and finance.
● Conduct in-depth diagnostic assessments of client businesses to identify areas for improvement and provide actionable insights.
● Develop strategies and solutions that address specific business challenges faced by clients, particularly in scaling and optimizing their operations.
● Facilitate live events (4x/yr), virtual workshops, training sessions, and one-on-one coaching meetings to guide clients in implementing best practices and innovative business strategies.
● Develop curriculum on new topics for client review.
● Work closely with clients to develop and refine their financial management practices, enhancing profitability and financial health.
● Collaborate with clients to streamline their operational workflows, improving efficiency and effectiveness across their practices.
● Support clients in the development and execution of effective marketing and sales strategies to attract and retain patients.
● Assist with member’s key staff, fostering strong team dynamics and leadership development within client practices.
● Provide ongoing support and guidance to ensure clients achieve and maintain their growth objectives.
● Communicate in our digital community to offer asynchronous client coaching.

Requirements
● Strong background in small business consulting, with extensive experience in providing business advice and coaching.
● Proven track record of success in helping businesses grow and optimize their operations and financial performance.
● In-depth knowledge of the health practice industry, particularly cash-pay medicine, is highly desirable.
● Bachelor’s degree in Business, Management, or a related field; a Master’s degree in Business Administration or relevant field is a plus.
● Minimum of 5 years of experience in business consulting or coaching, with specific experience in health-related industries preferred.
● Exceptional analytical, problem-solving, and decision-making skills, with the ability to adapt to the unique needs of each client.
● Excellent communication and interpersonal skills, capable of motivating and leading clients towards success.
● Strong organizational and project management skills, with the ability to manage multiple client engagements simultaneously.

Compensation & Details
● Employment Type: Full-Time
● Location: Remote (U.S.-based preferred)
● Compensation: $120k+/year (based on experience and expertise)
● Reports To: VP of Business Coaching

The Role
We are seeking a highly skilled Application Support Specialist who can combine technical expertise with strategic thinking. In this pivotal role, you will be the cornerstone of optimizing our internal systems by designing, implementing, and managing our technology stack to enhance operational efficiency.

With expertise in AI platforms and tools, HubSpot CRM, ClickUp, and the full suite of Microsoft Office 365 tools — including Outlook, Word, Excel, PowerPoint, SharePoint, Teams, and OneDrive — you will apply your deep technical knowledge to optimize systems and drive operational efficiency. Your mastery of these platforms will ensure that our teams are equipped with seamless workflows, dynamic dashboards, and integrated solutions to excel in their roles.

Internal training initiatives (i.e. creating and implementing application training) is integral to this role. As a trusted Subject Matter Expert (SME), you will collaborate with cross-functional teams to drive operational efficiency, enable data-driven decision-making, and identify opportunities for continuous improvement. Your work will directly impact the success of health and wellness entrepreneurs, empowering them through innovation and operational excellence in a fast-paced, innovative environment.

Responsibilities
The required job responsibilities include, but may not be limited to, the following:

Training, Documentation and Support:
● Develop and maintain comprehensive documentation for system processes, workflows, and best practices.
● Develop and deliver training programs to equip team members with the skills needed to maximize their use and proficiency of platforms like HubSpot, ClickUp, Crystal Reports, AI tools, and other relevant business software tools in use by the organization.
● Function as a point of contact for escalated technical issues, providing timely troubleshooting to minimize downtime.
● Support the onboarding of new hires.

Software Management & Optimization
● Serve as the Subject Matter Expert (SME) and system administrator for HubSpot, ClickUp, and Microsoft Office 365 applications (e.g., Outlook, SharePoint, and Teams).
● Optimize software performance by streamlining workflows, implementing industry best practices, and ensuring seamless integration between HubSpot, ClickUp, Microsoft, and other tools to create a cohesive technology ecosystem.
● Troubleshoot and resolve integration issues as they arise.
● Address security vulnerabilities, implement bug fixes, and manage hardware configurations.
● Collaborate with the CTO and development team to align platform initiatives with the organization’s overarching technical strategy and ongoing development projects.
● Evaluate and maintain relationships with external vendors and technology providers to ensure cost- effectiveness and optimal service levels.
● Recommend and implement new tools or upgrades to enhance the tech stack in alignment with organizational objectives.

Process Improvement & Change Management
● Analyze existing workflows and systems to identify inefficiencies and propose actionable solutions.
Lead the adoption of new technologies and tools, ensuring smooth transitions and minimal disruptions across teams.
Function as a liaison between technical and non-technical stakeholders to facilitate communication and bridge gaps during changes.
● 
Work with team members to effectively integrate technology tools into their daily tasks for more efficient output.

Ecosystem Data Management and Analytics 
● Oversee the organization’s Data Lake, integrating diverse inputs such as client business data, clinical outcome metrics, business coaching notes, and financial data.
● 
Design and maintain dashboards in ClickUp and other tools, enabling accurate real-time data visualization and reporting.
● 
Build predictive models and advanced analytics to provide actionable insights that inform business strategies and drive decision-making.
● 
Collaborate and partner with cross-functional teams to design, develop, implement, and enforce Standard Operating Procedures (SOPs) to maintain data quality, consistency, and scalability.
● 
Create custom reports that enable stakeholders to monitor key performance indicators (KPIs) and identify trends.

AI Utilization & Innovation
Leverage AI tools to enhance business operations through automated workflows, virtual agents, and advanced analytics.
Research, evaluate, and integrate emerging AI technologies to stay ahead of industry trends and drive innovation.

Train team members on AI applications, focusing on prompt engineering and best practices to improve adoption and efficiency.

Compliance & Security Oversight
●  Collaborate with the Managed Service Provider (MSP) to ensure that all systems adhere to relevant compliance regulations and security protocols.
● 
Maintain documentation and training to ensure team compliance with data privacy and security standards.
Ensure system integrity, data consistency, and compliance with security protocols.

Strategic Contributions
●  Participate in strategic planning sessions to align technology initiatives with long-term business goals.
Collaborate with marketing, sales, and HR teams to ensure that technology supports broader organizational objectives, such as campaign tracking, customer journey optimization, and onboarding.

Stay informed about industry trends to ensure the organization remains a leader in technological innovation.

 

Required Skills and Experience
● Expert-level proficiency in managing HubSpot CRM, ClickUp, and the Microsoft 365 suite (Outlook, SharePoint, Teams, etc.).
● Expert-level proficiency at building internal training programs.
Skilled in automation and reporting across HubSpot, ClickUp, and the Microsoft 365 suite, including the creation of workflows, reports, and dynamic dashboards to streamline operations.
Experience managing and implementing seamless integrations between tools and platforms, including API connections and middleware solutions (e.g., Zapier, Mighty Networks Pro, etc.).
Proficiency in ancillary software tools, including Zapier, Adobe Suite, WordPress, Formstack, and Zoom (Administration), is highly desirable.
Practical experience deploying AI-driven tools, including virtual agents, machine learning workflows, and prompt engineering for operational efficiency.
Demonstrated ability to design and deploy intuitive, user-friendly dashboards for technical and non-technical stakeholders, enabling real-time decision-making.
Strong understanding of data privacy regulations (e.g., GDPR, HIPAA) and experience ensuring compliance in data management and platform usage.
Microsoft Azure and Amazon AWS expertise is highly desirable.
Comprehensive understanding of marketing, sales, and customer service processes and their integration with CRM systems.
Proven success in leading organizational change, specifically the adoption of new technology tools or processes, with a focus on user training and stakeholder engagement.
Proven track record of effectively managing vendor relationships, including contract negotiations, and ensuring optimal service levels.
Adept at identifying potential technical or operational issues before they escalate, with a history of implementing preventative measures.
Familiarity with emerging technologies and advanced analytics tools, and their potential applications in business operations.
Experience administering and optimizing tools for community-building and collaboration (e.g., Teams or similar platforms).
Demonstrated success working across technical and non-technical teams to align technology solutions with organizational goals.
Exceptional analytical abilities with a talent for interpreting and leveraging complex data sets to drive insights and decision-making.
Strong project management skills, with the ability to prioritize, manage multiple tasks, and meet deadlines effectively.

Excellent communication and interpersonal skills, with a focus on training, supporting, and enabling team members to maximize technology use.
● Meticulous attention to detail and a proactive, solutions-oriented approach to problem-solving.

 

Reporting Structure
This position reports directly to the Chief Technology Officer (CTO)

 

Work Environment and Location

Full-time position

Availability requirement: Be accessible via email and internal communication tools Monday through Friday, covering at least 60–80% of the US Central Time Zone business hours to ensure seamless collaboration and support. Additionally, be available to address critical issues oremergencies outside regular hours, as needed.

Location dependent: You may also be required to attend in person quarterly conferences held by FPC twice per year as a technical resource.

Occasional Travel required: Must be able to travel

 

Key Performance Indicator (KPI):
Success in this role will be measured by maintaining a 99% system uptime, achieving a technology Net Provider Score (NPS) of 40 or higher, and delivering effective training that fosters team-wide efficiency and confidence in utilizing the technology stack.
