Role Outcome

As a Health Coach, you will own the success of your clients by providing personalized coaching, accountability, and encouragement. You’ll ensure patients achieve their goals, providers feel supported, and practices experience the full value of coaching services.

Key Responsibilities

Conducting Coaching Calls
● Lead anywhere from a few up to 12 (15-minute) coaching calls across multiple practices.
● Provide personalized guidance, encouragement, and accountability tailored to each client.
● Document call notes promptly to ensure continuity of care.
● Follow up with both providers and patients to reinforce next steps and share resources.

Managing Communication
● Respond to all patient and provider messages within the coaching platform.
● Ensure all inquiries are answered within 24 business hours to maintain trust.
● Return voicemails from the coaching line in a timely and supportive manner.

Facilitating Group Coaching
● Lead one-hour group coaching sessions for practices with embedded coaching.
● Foster an interactive, supportive environment that encourages shared learning and accountability.

Team & Ecosystem Collaboration
● Participate in ecosystem, Vibility, and coaching team meetings.
● Contribute to monthly FPC coaching sessions, sharing insights, feedback, and best practices.

Projects & Ongoing Development
● Contribute to curriculum revamps to keep content fresh and impactful.
● Be able to support in the creation and management of team SOPs.
● Research and share new recipes, products, and resources for clients.
● Stay current on the latest in functional nutrition and lifestyle strategies.

Qualifications
● Bachelor’s degree minimum (preferred)
● Certification from an accredited functional medicine, nutrition, lifestyle, or health coaching program (required)
● Knowledgeable in Functional Medicine Nutrition and lifestyle and able to coach clients accordingly
● At least 1-year coaching experience
● Bilingual (English/Spanish) preferred.
● Strong communication skills (verbal, written, and digital).
● Organized, self-motivated, and adaptable to change.
● Servant-hearted, with integrity, ownership, and a growth mindset.
●Proficient in Microsoft Office and digital tools.
● Ability to build trust and inspire transformation.

Time & Travel Availability

● Two in-person conference events annually
● Be available to communicate through email and internal communication tools Monday through Friday during US Central Time operations business hours.
● Flexible schedule; preference for candidates on PST or willing to work evenings EST.

Salary Range

● Salary Range: $65,000+ per year, with additional consideration for location, extensive skills and experience.

You’ll lead onboarding and account management to create a seamless client journey, orchestrate cross-functional projects that drive innovation, and design the systems and processes that make excellence repeatable.

By turning complexity into clarity and insight into action, you’ll translate client needs into operational improvements, track performance metrics that inform better decisions, and coordinate initiatives that elevate both the technology and the coaching experience. Key Responsibilities

Project Management & Operational Excellence

  • Plan, execute, and monitor projects across health coaching, SaaS, and curriculum initiatives.
  • Translate client and team feedback into actionable project plans with development, curriculum, and coaching teams.
  • Continuously improve workflows to increase efficiency, scalability, and alignment with company OKRs.

Reporting & Data Tracking

  • Build and maintain visibility through data tracking, dashboards, and reporting that inform strategic decisions.
  • Ensure data accuracy and reliability across client, coaching, and operational metrics.
  • Partner with leadership to translate data insights into clear priorities and process improvements.

Curriculum Coordination

  • Collaborate with subject matter experts to develop and refine curriculum content.
  • Coordinate timelines, feedback, and resources to ensure high-quality delivery.
  • Align curriculum updates with client outcomes, market trends, and coaching insights.

Team and Vendor Enablement

  • Support coaches, vendors, and internal partners with the tools, communication, and systems they need to deliver excellence.
  • Partner with IT to optimize tools like ClickUp, HubSpot, and SharePoint for usability and alignment.
  • Document and train staff on operational best practices and workflow improvements.
  • Troubleshoot process or technology issues quickly and maintain operational excellence.

Relationship Management

  • Act as a primary point of contact for clients alongside the GM, ensuring a smooth onboarding and ongoing experience.
  • Conduct quarterly check-ins with key accounts to assess satisfaction, identify opportunities, and gather actionable feedback.
  • Partner with internal teams to resolve challenges and deliver proactive solutions before issues escalate.

Collaboration & Continuous Improvement

  • Partner across sales, operations, and development to ensure alignment and innovation.
  • Provide feedback that informs product roadmap, curriculum evolution, and service development.
  • Contribute to company-wide events, conferences, and cross-ecosystem initiatives to strengthen culture and connection.

Qualifications (Must-Have)

  • 5+ years of experience in an operations-focused role (Project Management, Integrator, Operations Specialist).
  • Strong project management skills and proven success in managing cross-functional initiatives.
  • Fluency in project management software, preferably ClickUp (Asana, Monday, Notion, Airtable also valued).
  • Excellent communication and organizational skills.
  • Experience with data tracking and analytics preferred.
  • People management experience is a plus.

Qualifications (Nice-to-Have)

  • Experience in healthcare, wellness, or SaaS industries.
  • Familiarity with HubSpot, SharePoint, and process automation tools.
  • Background in workflow optimization or operational systems design.
  • Certifications: PMP, CSM, or equivalent project management credentials.

The Role

We’re hiring a full-time Senior Media Buyer to drive patient acquisition and growth for functional medicine and integrative health practices across the U.S. This role is focused on Google Ads strategy, implementation, and optimization—helping our clients attract new patients directly through high-performing search and display campaigns.

You’ll manage, optimize, and scale paid search campaigns for our ecosystem of private practice clients. You’ll also collaborate with our internal team to design new campaigns and continuously improve lead quality, conversion rates, and client ROI.

This is an execution-focused, performance-driven role with clear outcomes:
– Manage and retain 20–30 active Google Ads clients
– Assist with the launch of 5–7 new client campaigns each month

You’ll report directly to the VP of Marketing and work cross-functionally with our account management and operations teams to ensure seamless client experience and campaign success.

Our Clients:

Role Outcomes

  • Successfully manage and retain 15–30 Google Ads clients with ongoing optimization, reporting, and communication
  • Assist with the launch of 5–7 new clients/month, building and deploying campaigns from scratch, as well as setting up the client in a GoHighLevel environment for tracking and automation delivery
  • Manage average ad budgets of $1,500-$5,000+/month per client and deliver qualified appointments to each clinic. (Target cost/appointment of $100-$150/appointment).
  • Continuously optimize campaigns for cost per lead, call volume, and conversion rates
  • Report performance transparently using GoHighLevel and make strategic recommendations for improvement

     

Key Responsibilities

Google Ads Campaign Management

  • Plan, build, and optimize high-performing campaigns across Search, Display, and potentially YouTube
  • Conduct detailed keyword research, audience targeting, and conversion tracking setup
  • Manage daily and monthly ad budgets to ensure ROI goals are met
  • Create and test ad copy, landing page variations, and conversion pathways
  • Monitor key performance metrics and proactively make adjustments for lead quality and conversion

     

Client Communication & Account Management

  • Serve as the primary point of contact for assigned clients—conducting monthly check ins, building trust, managing expectations, and ensuring retention
  • Translate performance data into actionable insights clients can easily understand
  • Work with our internal marketing and creative teams to coordinate ad copy, landing pages, and assets

     

Analytics & Optimization

  • Maintain campaign dashboards and reports using Google Ads, HubSpot, and GoHighLevel
  • Analyze trends across clients and identify scalable opportunities for performance improvement
  • Report weekly and monthly KPIs and deliver recommendations to leadership

     

Qualifications

  • 5+ years of experience managing and optimizing Google Ads campaigns
  • Proven ability to manage multiple client accounts simultaneously with consistent performance
  • Strong understanding of conversion tracking, keyword intent, audience segmentation, and direct response marketing
  • Experience creating and analyzing performance dashboards and lead generation funnels
  • Excellent communication and client management skills—comfortable leading strategy discussions
  • Bonus: Prior experience working with healthcare, wellness, or functional medicine businesses
  • Strong understanding and familiarity with HubSpot, GoHighLevel, and Google Analytics
  • Google Ads Certification preferred (or willingness to complete upon hire)
